About The Torch
The Torch is an Aboriginal-led, not-for-profit arts organisation providing art, cultural and arts industry support to First Peoples incarcerated across Victoria and following their release into the community.
Through our Statewide Indigenous Arts in Prisons and Community Program, we support First Peoples to reclaim cultural connections through art and cultural practice. Our work supports personal and community healing, empowerment, economic opportunities and a sense of purpose.
About the role
We are seeking an organised and reliable Business Administrator to support our Operations Manager across finance, human resources and office administration.
Working closely with our team and external finance provider, BlueRock, you will help keep our day-to-day operations running smoothly. Your work will include coordinating financial documentation, reviewing payroll and payment information, supporting recruitment and onboarding, and assisting with office supplies and building maintenance.
This is an opportunity to contribute your skills to a collaborative organisation whose work centres First Peoples, culture and community.
What you will do
Coordinate and review payments to artists for artwork sales, licensing, loans and commissions, for approval by the Operations Manager.
Work with BlueRock to review outstanding invoices, coding and payment details and coordinate payment approvals.
Check fortnightly timesheets and review payroll prepared by BlueRock before submitting it for approval.
Assist with budgets, grant acquittals, cashflow monitoring and quarterly reporting.
Support HR policy updates, recruitment, employment documentation and staff onboarding.
Coordinate office supplies, cleaning services and basic building maintenance.
About you
You will bring relevant business administration experience, strong attention to detail and a respectful, culturally aware approach to your work.
We are looking for someone who has:
Experience in business administration, with relevant skills in finance, payroll coordination, HR and organisational operations.
Strong organisation and time management skills, including the ability to manage competing priorities and meet deadlines.
Clear written and verbal communication skills and the ability to engage respectfully with artists, colleagues and other stakeholders.
Confidence using Microsoft Word, Excel and Outlook.
Experience using Xero or similar accounting software and CRM systems such as Salesforce, or the ability to learn new systems quickly.
Initiative and sound judgement, including knowing when to seek guidance.
The ability to work respectfully and effectively with First Peoples and contribute to a culturally safe workplace.
