Vendor data now links compliance, finance and operations
Programmed has centralised vendor data for more than 18,000 active vendors across its building and facilities management operations, linking onboarding, compliance, finance and operational systems.
Programmed is an Australasian operations, staffing and maintenance services provider with more than 10,000 customers in mining, government, education and infrastructure.
The company also delivers facility management, property maintenance, training and workforce solutions across the region.
Before the change, vendor information sat in separate business units and applications at Programmed. Those gaps made vendor selection harder and caused repeated compliance checks across teams.
Gary Gietzmann, head of procurement at Programmed, said: “We needed vendor data to be consistent across onboarding, compliance, finance, and operational systems, removing duplicated compliance checks and conflicting records, while giving every team a near-real-time view of vendor status.”
Rapid Global and Adaptiv implementation
To build a unified view of vendor information, Programmed created a centralised Vendor Management System using Rapid Global as its vendor onboarding and compliance platform.
Adaptiv, a Boomi partner, implemented Boomi Enterprise Platform Data Hub and Integration capabilities for the Rapid Project.
The project connected Rapid Global, Microsoft D365 Finance & Operations for ERP and financial processing, and downstream work order management platforms used for procurement and operational delivery.
As a result, vendor information now moves across systems with less manual re-keying and fewer conflicting records.
Boomi Data Hub now acts as the master data management backbone for Programmed’s vendor records. It governs profile details such as compliance status, certifications and insurance through a central golden record.
The platform also uses a quarantine capability to detect and isolate inconsistent records from upstream systems before they spread across the wider environment.
Philip Durrant, principal consultant at Adaptiv, said: “When we assessed Programmed’s requirements, it was clear that Boomi’s combination of integration and master data capabilities made it the right fit.”
Durrant also said the vendor record sat at the heart of the solution, creating a governed foundation for a scalable architecture.
One part of the project focused on vendor data in Microsoft D365 Finance & Operations. That workload could generate hundreds of API calls in one execution and tens of thousands of calls during the initial load.
To manage that volume, Adaptiv used Boomi Event Streams to split batch results so each vendor could run in its own execution.
Following the rollout, Programmed gained a single source of truth across compliance and operations, while compliance and procurement teams spent less time checking, copying and reconciling the same data.
